PAIA manual.

Quay Seven (Pty) Ltd, registration number 2019/056020/07. Prepared under section 51 of the Promotion of Access to Information Act 2 of 2000 (PAIA). Compiled 04/11/2026; last revised 04/11/2026.

1. What this manual is for

PAIA gives everyone the right to request access to records held by a private body where the record is needed to exercise or protect a right. This manual explains which records we hold, which you can have without a formal request, how to make a request, and how we handle personal information under the Protection of Personal Information Act 4 of 2013 (POPIA).

2. Contact details

  • Head of the company and Information Officer: Johann Naudé, director
  • Email: hello@quayseven.com
  • Website: quayseven.com

3. The Information Regulator’s guide to PAIA

The Information Regulator publishes a guide on how to use PAIA and POPIA, in every official language and in braille. It explains the rights the Acts give, how to make a request to a public or private body, the help the Regulator offers, and the remedies available, including complaints to the Regulator and applications to court.

The guide is available on the Regulator’s website, inforegulator.org.za, and from us on request. You can also inspect it at the Regulator’s office during normal working hours.

4. Records available without a request

These records are available without a formal request:

  • This manual and our privacy notice, on quayseven.com.
  • Everything else published on quayseven.com.
  • Our company name, registration number, and directors, which are also public on the Companies and Intellectual Property Commission’s register.

5. Records kept under other legislation

We keep records as the following laws require, where they apply to us:

  • Companies Act 71 of 2008: memorandum of incorporation, registration documents, register of directors, securities register, minutes and resolutions, and accounting records.
  • Income Tax Act 58 of 1962 and Tax Administration Act 28 of 2011: tax returns, assessments, and supporting records.
  • Promotion of Access to Information Act 2 of 2000: this manual.
  • Protection of Personal Information Act 4 of 2013: our privacy notice and records of how we process personal information.

6. Subjects on which we hold records

  • Company: incorporation documents, statutory registers, minutes, and resolutions.
  • Finance and tax: accounting records, bank statements, invoices, and tax records.
  • Clients: enquiries, correspondence, proposals, agreements, project files, and the work we deliver, including style guides.
  • Service providers: agreements, correspondence, and invoices.
  • Website: the content of quayseven.com and its technical records.

7. How to request a record

Send your request to the Information Officer at hello@quayseven.com, using Form 2 (Request for access to a record) in the PAIA Regulations, which is available on the Information Regulator’s website. Give enough detail for us to identify the record, say how you would like to receive it, and explain which right you need it to exercise or protect. If you are requesting on someone else’s behalf, include proof that you may do so.

We reply within 30 days. The fees set out in the PAIA Regulations may apply: a request fee, payable before we process the request, and an access fee for finding and copying the record. We will tell you the amount before you need to pay it. We may refuse access only on the grounds that PAIA allows, and we will give our reasons.

If you are unhappy with our decision, you can complain to the Information Regulator or apply to court, within the periods PAIA sets.

8. How we process personal information

Purpose. We process personal information to respond to enquiries, agree and carry out work for clients, deal with service providers, run the company, and meet our legal obligations.

People and information. For people who enquire and for clients’ contacts: names, email addresses, phone numbers, website addresses, and what they tell us about their sites and businesses. For clients and service providers: company names, registration and VAT numbers, addresses, and the details needed to invoice and pay.

Recipients. Our service providers, which process information on our behalf: Vercel (website hosting and the enquiry form), Resend (delivering enquiries by email), and Google (email and file storage). We also give information to the South African Revenue Service and other authorities where the law requires it. We don’t sell personal information.

Outside South Africa. Our service providers store and process information in the United States and Ireland, under data protection terms comparable to POPIA.

Security. Information travels over encrypted connections and is kept in accounts protected by strong passwords and two-step verification. Only the Information Officer has access.
